About the Role
We are seeking a detail-oriented and motivated Administrative & Tax Support Specialist to join our team. In this role, you will support the firm’s daily operations, client service, and tax preparation processes. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities while maintaining professionalism with clients and colleagues. The ideal candidate has experience in both administrative support and tax support compliance, with a proven ability to streamline workflows and deliver top-quality service. We require in office during tax season and hybrid post tax season.
Responsibilities
- Coordinate providing draft tax returns to clients and obtaining e-file signatures as needed
- Support e-filing processes and monitor acknowledgments from IRS and state agencies
- Manage client databases, track filing deadlines, and maintain secure records
- Draft and proofread correspondence, reports, and engagement letters
- Provide administrative support to partners, managers, and professional staff
- Schedule and coordinate client appointments, meetings, and firm events
- Handle client communications by phone, email, and in person in a professional and timely manner
- Assist with billing, invoicing, and time entry processes
- Maintain physical and electronic filing systems in compliance with firm policies
- Assist with other projects as needed.
Qualifications
- 2+ years of administrative experience; experience in a CPA firm or professional services environment preferred.
- Excellent organizational skills and attention to detail.
- Strong communication and interpersonal skills with a client-service mindset
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Strong problem-solving abilities and a proactive approach to tasks.
Pay range and compensation package:
Competitive Salary: $50,000 – $60,000+, adjusted for skill, experience, and performance.
Performance Incentive: Tax season bonus.
